For the benefit of all users, the Greenacre Hall committee has established a few conditions of hire. By making and paying for a booking you are agreeing to all these terms and conditions. Failure to comply may result in a loss of all or part of your deposit and the hall can refuse to accept future bookings.
- Payment and Cancellation
All bookings to be paid for in advance. A booking may be cancelled at any time until 48 hours before the event without loss of the hire charge. After this time it will be at the discretion of the committee. Large event bookings must not exceed 90 guests and will require a refundable deposit of £250, to be received at time of a confirmed booking or 2 months before the party, whichever is the later. Please note that the booked time must include time to set up at the start and clear up at the end.
- Consideration for our Neighbours and Other Hall Users
The hall and all adjoining rooms are designated strictly no smoking areas. Parties must finish by 11 pm and the hall must be vacated by midnight. Parties which overrun, or the committee receives complaints from neighbours, can result in the loss of your deposit. Please ensure your guests leave the building quietly. You must not use equipment belonging to other hall users.
- Car Parking
Use of the car park is included in the letting. The car park is shared with the Pavilion, and we cannot guarantee that space will be available for all who wish to park. All personal property and cars left unattended at owner’s risk.
- Heating
Please do not adjust the radiators (or the thermostat). The settings are to suit the majority of hirers and if they are changed this inevitably causes a problem for the next hall user. Please use the wall heaters in the main hall sparingly. They will be switched off during British Summer Time unless it is very cold. - Health & Safety
It is the responsibility of the hirer to make clear to all participants the location of the fire exits and the procedure in the event of an emergency evacuation. For large parties and events, you must arrange your own insurance. The Hall committee cannot be held responsible for loss, damage, or injury whilst on the premises. An adult must accompany all minors under the age of 18.
The hall has a statement of policy in place to protect children and vulnerable adults. All people associated with the Village Hall and its users have a responsibility for the safeguarding of children and vulnerable adults. No member of the Trustees, village hall staff, outside contractors, hirers or volunteers will have unsupervised access to children or vulnerable adults unless in possession of appropriate clearance such as DBS. The Trustees will ensure that all hirers/users of the Hall are aware that any safeguarding of children or vulnerable adults is the responsibility of the hirers. Hirers need to be aware that facilities such as the toilets might be shared with other groups and that appropriate supervision/arrangements should be made. - Clearing-Up
Rubbish from parties to be removed by hirers – the dustbin can only accommodate general hall use. All hirers to leave the building as they have found it. This will entail vacuuming, sweeping the floor, putting away tables and stacking chairs where you found them (no more than 5 high). - Locking Up
Unless specifically requested, you will only be given the key to the front white door. For weddings, special events etc. keys to main folding doors are available only on request. On closure, please ensure heating, lights in the entrance hall and upstairs, electric appliances including the wall kettle etc. are switched off, and windows and doors are closed. Please ensure the hall is locked and return the key promptly.
